Caring Hands offer a range of services to older people and physically impaired people living mainly in East End of Newcastle upon Tyne including:

Role title: Volunteer Administrator 

Role Purpose: To provide Caring Hands Charity with administrative support on a voluntary basis in our office based in Shieldfield, Newcastle Upon Tyne. 

Reporting Line: The post-holder will be accountable to the Administrator, Volunteer Coordinator and Manager. 

Direct report/s: N/A 

Working Relationships (Internal/External): Manager, Volunteer Coordinator, Administrator and public. 

Main tasks and responsibilities: 

1. Answering Caring Hands Charity enquires via email or telephone calls, and providing customers with accurate, relevant and up to date information about Caring Hands Charity services. 

2. Administering the process of receiving, recording and distributing Small Aids forms and other service-related documents. 

3. Maintaining accurate, accessible and detailed records, including the inputting of data onto the 

Caring Hands Database and Excel spreadsheets. 

4. Providing administrative support to the team and administrating own work, which will include 

answering the telephone, taking messages, opening and franking post, writing letters, word 

processing, filing, photocopying, stocktaking, ordering stationery, room booking, etc. 

5. Maintaining customer care and quality standards for working with all customers. 

6. Working at all times with respect and sensitivity to the needs of customers; ensuring they are 

listened to and that action required is consistently delivered. 

Experience/Skills and attributes: 


1. Proven effective interpersonal skills, including the ability to enthuse others 

2. Good, accurate administration skills, including keyboard, word processing and 

data entry and retrieval skills 

3. Excellent communication skills, both oral and written, including telephone and 

reception skills 

4. Good working knowledge and proven proficiency in using key software 

including Microsoft Word, Outlook and Excel, and competence in the use of 

databases and web-based applications. (Full induction will be given for our Ragic system) 

5. Proven planning, time management and organisational skills 

6. Experience handling confidential and sensitive information 

7. Ability to work on own initiative 

8. Ability to work efficiently to deadlines and to complete tasks as required 

9. Proven experience of working effectively as part of a team 

10. A demonstrable commitment to high standards of customer care 

11. Understanding of and commitment to equal opportunities and diversity 

12. Concern for accuracy, attention to detail and quality 

13. Ability to work flexibly
